Wingate and Withers offer THREE different services to suit your needs, this can be decided once we have a tenant.

Let Only 

Our ‘Let Only’ service is primarily suitable for more experienced landlords who live locally and who are happy to manage the property and tenants day to day.

We will take high quality photos, advertise your property on all the portals and arrange the viewings at a suitable time for you. Once we find a suitable tenant, we will arrange for the tenancy agreement to be drawn up, arrange for the inventory to be done (optional at an extra charge) for further information please read the PDF with an introduction to inventories and see an example of the inventory check in (pdf of example) We will then register the deposit money with the Tenancy Deposit Scheme. https://www.tds.gb.com/landlords-overview.html. Wingate and Withers will inform the utility suppliers of the meter readings.

The commission is calculated over the first twelve months and there is NO renew fee applicable for future years. This payment is due on the first months rent, as all further payments come directly to yourself.

We do everything up to the point the Tenants move in, but you are then responsible for collecting the rent, managing the property and resolving any legal, rent or other issues. At the end of the tenancy, however, we will work with you on the ‘check out’ to ensure all is ok and that any disputes about the deposit return are resolved quickly.

Rent Collect

The fundamental importance of letting your property is to ensure that the tenant pays rent on time. In such testing times and variable demands of tenants and housing legislation, it is very easy to lose focus on rent collection for smooth cash in-flows.

Wingate and Withers will chase up the tenant for any rent arrears and shall also assist you in serving notices in case of non-payment of rents. Your rent will be paid into your account within 3 working days of receipt from the tenant and a statement clearly showing the commission that has been deducted on a monthly basis will be sent to you via email.

In addition, we can offer rent and legal expenses insurance to landlords who want complete peace of mind even if the tenant fails to pay rent. Wingate and Withers can organize and purchase this on behalf of the landlord (as an additional fee).

Fully Managed

Wingate and Withers offer a high level of service to the landlords, ensuring that the tenants have contact 24/7. The commission is deducted monthly with a full rental statement being provided monthly. This service detaches you from the management and contact with the tenants, for more information please read our terms and conditions of business.

Once we find the perfect tenant we will arrange for the tenancy agreement to be drawn up and arrange for the inventory to be done (optional at extra charge of, depending on the size of the property) for further information please read the PDF with an introduction to inventories (intro to inventories) and see an example of the inventory check in (pdf of example). Once the tenants have been in the property for three months we will arrange for a property visit and report back to you. If we felt confident that the tenants have looked after your property we will revisit at six months, and should we have any doubts we will revisit within a reasonable time scale. Wingate and Withers will deal with all the management and maintenance of your home, according to the terms and conditions of business.

We have a large number of local and reliable tradesmen at hand to handle any damage or repairs large or small. You will have confidence in the condition of your property for years to come as we ensure that all our contractors have Public Liability, and are tried and trusted names.

- Advising on compliance with Safety Regulations for Gas/Electricity supplies etc.
- Collecting monthly rental payments and providing monthly accounting to landlords
- Arranging annual gas safety checks
- Periodic inspection of the property and reporting of any problems
- Obtaining competitive quotations and, upon approval, arranging for necessary repairs/maintenance to be carried out
- Contacting the Tenant and arranging for renewals and/or check-out as necessary .

Agents obligations

As we are instructed to let your premises, we will do the following:

  • Wingate and Withers do not put a mark-up on contractors invoices.
  • Upon confirmation of the rental price, we will take numerous photos, details and room size measurements to start the marketing process.

  • To ensure the property has a current Energy Performance Certificate

  • We will instruct a ‘To Let’ board to be erected at the property, you must notify us if you would prefer not to have a board, or if there is a restriction.

  • Within 24 hours of taking the property details, your property will be seen on all the portal websites.

  • We would require keys or arrange a mutually convenient time with yourself or the current tenant to accompany viewings

  • Feedback will be provided after viewings

  • Negotiate offers between you and the potential tenant

  • Before the offer is accepted, we can arrange a meeting between you and the prospective tenant, either in our office or at the property.

  • Subject to the offer being accepted, we will start the referencing process with a creditable referencing company.

  • They will then obtain a reference from their current landlord, an employer’s reference, confirming their financial income and run a credit check.

  • Wingate and Withers will notify the you upon this conclusion for your approval, please notify us within 5 working days if you do not wish to proceed with these tenants.

  • We then need to receive the signed contract, with your preferred management service

  • Prepare a comprehensive tenancy agreement along with prescribed information, setting out with rights and obligations of both parties including any special terms that have been mutually agreed.

  • Should you request a full inventory for your property, we can instruct an independent inventory clerk to carry out full report along with a signed schedule

  • Collect first month’s rent and deposit money

  • Register the tenancy details with the Tenancy Deposit Scheme

  • To ensure the property has a current Gas Safety Certificate

  • Wingate and Withers will exchange signed tenancy agreements, prescribed information and any other documents relating to the tenancy.

 

Landlords Obligation

As a landlord of your property, the following will be your responsibility to fulfil

 

  • By signing these terms and conditions, you are agreeing to enter an occupation agreement.

  • If the premises are subject to a mortgage, you will need your mortgagee’s written consent to grant a tenancy, as the tenants are entitled to see this if required.

  • Leasehold properties may require consent from the freeholder, as this is deemed as sub-letting.

  • To inform your insurers that you are renting out your property, irrespective of the property being unfurnished, you should also check your insurance policy includes third party, we cannot be responsible of the renewal of your insurance.

  • Landlords must notify Her Majesty’s Revenue and Customs (HMRC) that you are letting the premises as you are receiving an income. To seek further information please access the website on www.hmrc.gov.uk

  • International landlords need to obtain a tax approval number from HMRC, the following guidance nights can be downloaded from the website.

  • Should you wish to change the level of service/agent after the fixed term of the first year, we would require two months written notice.

  • Should you wish to enter into an HMO (houses of multiply occupancy) of 3 or more people that are not related, a license will be required from the local authority, this will be your responsibility.

  • You will be responsible for any loss or damage that you suffer through the act/default or negligence of any third party.

  • All soft furnishings must comply with the fire resistant regulations.

  • Should you decide to sell to the tenant or third party the commission is 1.5% +VAT payable on completion via solicitors.

  • If you instruct us to proceed with a proposed tenancy agreement and subsequently withdraw your instructions, you agree by signing this agreement to meet some of the costs and expenses incurred.

  • Should your property require an electrical certificate, should this become mandatory, it is your responsibility to provide us with one.

  • To provide a current gas safety certificate that has been carried out by a certified gas engineer.

  • To provide a current energy performance certificate, these are valid for 10 years.

  • All properties must have a working smoke alarm fitted on every floor.

  • It is required for every property to have a working carbon monoxide detector fitted.

  • Due to the Money Laundering Regulations 2007, we require you to provide us with one proof of identity (full passport, driving licence) and one proof of residence (utility bill, mortgage statement, council tax bill)

Brief Landlord Fees

Tenant Find Only - 8% plus vat (10.4 % inclusive of vat) 

Rent Collect - 9% plus vat (11.4% inclusive of vat)
